Privacy notice

Last updated: 24 September 2026. This notice describes how Not Only Pilates handles personal data in connection with its activities, notonlypilates.com, and the protected instructor booking area.

What we use and why

When you contact us, we use information you send by email or telephone to respond to your enquiry. The website enquiry form opens your own email application; the form does not store its contents in our website database. If you send the message, your email provider delivers it to our mailbox.

To organise lessons, we keep customers’ first names and surnames, together with their bookings. Booking details include date and time, duration, lesson type, class size, room, instructor, participants, customer IDs linked to a lesson, and optional lesson notes entered by instructors. The booking system does not request addresses, telephone numbers, email addresses or health information for customers.

For instructors, we process account names, display names and sign-in details. The booking system also records who created or changed a booking. We use this information to organise lessons, look after customers, coordinate rooms and protect the instructor area. Automated email and SMS lesson reminders are not currently enabled.

Access and service providers

The shared calendar shows lesson type and class size without customer names. Signed-in instructors can open bookings to view participants and notes, and can view, add and edit the shared customer list.

Cloudflare hosts the website and booking application and provides the D1 database. Technical information such as IP address, browser information, time and pages requested may be processed to provide the site, protect it and diagnose errors. Easily.uk manages the domain; the email provider used for our mailbox also processes messages sent to us. We disclose data to others only where needed to provide our services, meet legal obligations, or with your permission.

Cookies and browser storage

As currently implemented, the public website does not set its own analytics or advertising cookies or embed analytics pixels. Signing in to the booking area requires an essential, secure session cookie named «sid». It lasts no more than twelve hours and is cleared when you sign out. If an “under construction” notice is displayed, your decision to close it may be stored in session storage for that browser tab. Other providers may process data when you choose to visit their sites using an external link.

Processing outside Switzerland

The website and booking application run on Cloudflare infrastructure. Cloudflare D1 operates the booking database outside Switzerland. The database location depends on the configuration of the particular database. Processing exclusively in Switzerland is not guaranteed. Website requests may be processed through Cloudflare’s international network. Email providers may also process messages in other countries. For transfers abroad, we comply with Swiss data protection requirements and use appropriate safeguards where required. You may ask us for information about relevant recipients and safeguards.

Retention and security

We keep customer details, bookings and correspondence as long as needed to provide lessons and customer support, address possible claims, or meet legal retention duties. We then delete or anonymise them unless further retention is required or permitted. Website traffic uses encrypted HTTPS. The booking area requires sign-in, and access to customer information is limited by instructor assignment and administrator permissions.

Your rights

Subject to applicable law, you may request access to and correction of your data, and in some cases deletion, or object to processing. Contact esther@notonlypilates.com. We may need to verify your identity. You may also contact the Swiss Federal Data Protection and Information Commissioner (FDPIC).

Changes

We update this notice when the website, booking system or our processing changes. The current version is published here.
